Our client is a business and sports law firm that represents founders, entrepreneurs and athletes, along with their businesses.

Job Description

Our client is a one-year-old law firm run by a founding attorney who is not tech-savvy. They want to ensure every hour spent on work produces a return. This role will focus on automating workflows and integrating AI to save the firm time and money.

Your first priority will be to automate the client intake journey from start to finish. This includes booking a consultation, sending intake forms, scheduling, summarizing consultations, preparing agreements, and onboarding new clients into the system. The goal is to have this process live, along with a properly configured AI setup, before mid-December 2026.

Responsibilities Of The Role

• Design, build, and launch automated workflows and AI agents across Clio Manage, Clio Grow, Claude, and Microsoft 365 (SharePoint/OneDrive).

• Configure and optimize Claude for the firm, including projects, knowledge base, connectors, and file permissions.

• Set up and use Clio Grow's built-in AI and automation features.

• Write simple, step-by-step guides for every system you build, in plain language.

• Act as on-call tech support, troubleshooting broken automations and confirming fixes.

• Monitor agents and workflows to ensure they are working correctly and keep them updated.

• Proactively suggest new ways AI can save the firm time and money.

• Help with light admin tasks in an executive assistant style.

• Automate the full client intake journey end to end.

• Ensure new clients and matters are onboarded into Clio Manage with files in the correct place.

Required Experience And Qualifications

• Proven experience building AI agents and workflow automations for small businesses, with examples of measurable time or cost savings.

• Hands-on experience with Claude or comparable LLM tools.

• Experience configuring CRM or practice-management systems and their automations; Clio Grow and Clio Manage are strongly preferred.

• Working knowledge of Microsoft 365, especially SharePoint and OneDrive file structures and permissions.

• Ability to explain technical setups in simple, step-by-step terms to a non-technical user.

• C1 English or above, written and spoken.

• Availability during US Eastern business hours.

Preferred Skills

• Experience working with law firms or other professional-services firms.

• Familiarity with Calendly and e-signature tools.

• Experience with integration platforms such as Zapier or Make.

• Executive or virtual assistant experience.
